Manage who can view and edit specific files and folders at the individual level

At TaxDome, security isn’t a feature; it’s the foundation, exceeding  bank-level security to safeguard your firm and clients, including team-level access controls, audit trails, 2FA, and SOC 2 Type II compliance.

And now we’ve made it stronger.

As your firm grows, so does the need for tighter control over data visibility. All-or-nothing file access creates risk, especially for growing firms with seasonal hires, multi-entity clients, and sensitive workstreams.

Granular Access Rights is the latest layer in our enterprise-grade security framework, built to help large and multi-location teams protect sensitive data, reduce risk, and strengthen client trust — at scale.

Starting today, you can control document and folder access at the individual level. Set permissions for each team member and client contact, deciding exactly who can view or edit specific files or folders.

Easily set granular permissions, individually across staff and clients

Navigate to any document or folder, right-click to access “Manage Access,” and assign permissions. These settings override default folder permissions and sync instantly across all devices.

Start with high-stakes scenarios: sensitive business deals, complex family structures, or seasonal staff onboarding. These demonstrate immediate security improvements while reducing administrative overhead.

For both staff and clients, firm admins can manage access rights — None, View, Edit — one by one or in bulk. Permissions can be edited directly from the Documents, Signatures, Approvals, and Recent tabs, as well as during document upload — ensuring control is always right where you need it.

Access rights also stay intact when moving files within the same account. If you move files between client accounts, team access remains, but client access resets automatically, keeping sensitive data protected.

Key use cases for large and fast-growing firms

  • Seasonal staffing: grant tax season hires access to only current-year folders. Protect historical data, estate planning documents, and business valuations from temporary staff.
  • Confidential negotiations: keep mergers and acquisitions (M&A) documents between owners and partners. Bookkeepers continue routine work without exposure to sensitive information.
  • Multi-entity clients: restaurant managers see only their location’s financials. CFOs access consolidated reports. Owners maintain complete visibility. Each person sees exactly what they need.
  • Internal collaboration: work on client documents without moving files. Simply restrict client visibility on working folders while your team collaborates in one place — eliminating errors from file transfers.

Bolster your firm’s security posture with TaxDome

Granular Access Rights reinforces TaxDome’s comprehensive security approach for growing teams managing sensitive data across roles, departments, and locations, which already includes:

SOC 2 certification badge

Granular Access Rights applies the same “need-to-know” principle at the document and folder level — for both your team members and client contacts. Every access, view, and edit is tracked in our audit trail, giving you complete visibility into who’s accessing sensitive information.

Security is the foundation on which TaxDome is built; not just a feature. We rigorously follow industry-recognized best practices for security and continuously monitor our systems to meet the highest compliance standards — safeguarding your data, strengthening your cybersecurity posture, and giving you the confidence to grow with confidence.

TaxDome is rock solid. They’re constantly monitoring. They have a game plan in place if attacks happen. They know how to handle it. Your data is secure. It’s incredibly reassuring from my chair — especially as a firm that’s been through a data breach. — John Siebert, Firm Owner, Siebert & Associates, CPAs | 10 staff, 1,000+ clients

The unified platform advantage — for teams and clients

While other firms juggle separate systems for documents, signatures, portals, and billing, give your firm a competitive advantage by unifying these core processes in one secure, end-to-end work platform built for growing firms — with unlimited document storage and unlimited e-signatures included in every plan.

Reduce tool sprawl and admin overhead, and deliver the consistent, seamless experience your clients expect.

For clients — a seamless, one-login experience:

  • Single login across all entities (secured with biometric authentication)
  • Documents, signatures, payments, and messages in one place
  • KBA-compliant e-signatures available when needed
  • Appropriate access for each contact — no password sharing needed
  • Security standards that matter to them and exceed their expectations

For staff — connected workflows with the tools they need, built in:

  • Complete audit trails in one system
  • No per-user fees or storage limits

  • Seamless integration with existing workflows

Build unshakeable client trust and future-proof your firm

As of 2024, according to Statista, the global average cost of a data breach is $4.88 million. In the United States, the average cost is $9.36 million.

Cyber threats are on the rise, and so are client expectations around security. Firms that fall short risk long-term reputational damage — and their future.

This isn’t just a security upgrade; it’s part of our broader mission to empower tax, bookkeeping, and accounting firms with one secure, end-to-end platform built for both teams and clients — so you can scale with complete peace of mind.
